Booking Conditions

It is essential that you read these Booking Conditions carefully and that you ensure you understand them fully. The following information constitutes the contract between you and International Internships for the services provided by International Internships and therefore sets out your legal relationship with International Internships.

1) Prices and Validity

Prices given are for the program of the year indicated only. International Internships reserves the right to change prices from one program to the next. Prices do not include airfares, passport fees, travel insurance, excess baggage charges, airport taxes, most meals and drinks, laundry, extra activities and trips or any other items of a personal nature.

Deposit: Upon receipt of your details and after initial consultation with you, International Internships will request a deposit. This will be required within 30 days from the issue date. Work towards confirming your internship site will commence upon receipt of the deposit payment.

Final Payment: International Internships will issue an invoice for the final payment (internship package plus any optional extras) when the internship site has been confirmed. This will be required by the earlier of 30 days from the issue date of the invoice or 30 days prior to your arrival in country.

Cancellation and refunds: The deposit payment will be refunded in full in the event that International Internships is unable to secure you a position in the advertised program, along with any specific conditions stipulated to you directly. However, if you withdraw your application prior to the mutually agreed cut-off date (this is three months from you providing us with your updated CV unless explicitly stated otherwise) then the deposit will not be refunded. The mutually agree cut-off date assumes that you respond to all requests from International Internships in a timely manner and if International Internships deems you not to have done so then we may decide not to refund your deposit.

If we confirm an internship placement for you within the agreed timeframe and you withdraw from the program: a) 60 days or less before departure, no refund will be given; b) More than 60 days before departure, 50% of the program fee will be refunded.

2) Conditions Overseas

In Indonesia and Malaysia, standards of accommodation, transport, safety, hygiene, medical facilities and other infrastructure may, at times, be lower than those that you would normally expect. Please bear this in mind when making your booking.

Despite being carefully selected, the internship sites may not always adhere to the standards of occupational health and safety that are required of Australian organisations. Therefore, it is your responsibility to ensure that you are comfortable partaking in any activity that is requested by your host organisation. If you are not happy with any of the conditions of your worksite, it is your responsibility to contact an International Internships employee (see Section 7 – Complaints, below). Under no circumstances will you be forced to work in an environment that you consider unsafe.

At any point in time, travellers to Indonesia and Malaysia will potentially be subject to risk of injury, psychological trauma, disease, loss or damage to property, inconvenience or discomfort. For this reason, please take the time to acquaint yourself with the travel advice provided by the Department of Foreign Affairs and Trade, which can be found at: www.smartraveller.gov.au . By booking with International Internships, you are confirming that you have read and fully understand the information provided on this page and take responsibility for your own decision to travel and stay in your internship host country, and are aware of the risk of eventualities occurring which are outside of International Internships or its partners’ control.

3) Disclaimer

By agreeing to these Booking Conditions, you warrant that you have not relied on any representation made by International Internships which has not been stated expressly in direct communication between you and International Internships.

International Internships will help to source a suitable internship site and will do its best to support you during your time participating in our program. However, the actual working agreement is between you and your internship site and International Internships does not take responsibility for anything that happens while you are at your internship site.

If your internship site terminates your placement prior to the end of the stated time as a result of your actions and can give reasonable evidence to that effect, no refund of fees will be given and International Internships is under no obligation to provide you with another placement.

International Internships will endeavour to keep all participants safe at all times. However, we will not be held responsible for any events directly or indirectly out of our control, including but not limited to actions by third parties.

You are responsible for your own safety during the program and neither International Internships nor your internship site nor any third party is responsible or liable for any accident, sickness, loss, damage, expense or hazard encountered or incurred by you during your program.

International Internships will not accept responsibility or liability for any participant, or third party, who contravenes any of the laws or regulations of any country.

To the extent permitted by law, any condition or warranty which would otherwise be implied into these conditions is hereby excluded. Where legislation implies any condition or warranty, and that legislation prohibits us from excluding or modifying the application of, or our liability under, any such condition or warranty, that condition or warranty will be deemed included but our liability will be limited for a breach of that condition or warranty to one or more of the following: (a) if the breach relates to goods, i) the replacement of the goods or the supply of equivalent goods, ii) the repair of such goods, iii) the payment of the cost of replacing the goods or of acquiring equivalent goods or iv) the payment of the cost of having the goods repaired; and (b) if the breach relates to services, i) the supplying of the services again or ii) the payment of the cost of having the services supplied again.

Exception to Disclaimer:

This disclaimer set out in these booking conditions does not attempt or purport to exclude, restrict or modify liability arising under statute if, and to the extent, such liability cannot be lawfully excluded.

4) Changes to Programs

Participants should realise that, at times, the actual operation of programs will differ from that indicated in the timetables on the website and in communication with you. These changes may occur in a variety of ways, and are likely to be a result of Force Majeure, weather conditions, unexpected changes in opening and closing times, vehicle availability, or other circumstances beyond International Internships’ control. In this event, partial refunds may be granted at the discretion of International Internships, although it is under no obligation to do so.

5) Authority of the Leader

There will be at least one International Internships employee or paid partner acting as the Program Manager for the entirety of each International Internships’ program. At all times, the decision of this Program Manager will be final on all matters likely to affect the safety and well-being of participants of any International Internships program. You must, at all times, strictly comply with the laws, customs, and foreign exchange and drug regulations in the country of your program. Should you fail to comply with these, or with the Program Manager’s directions, or should you interfere with the well-being of the group, then the Program Manager reserves the right to order you to leave the program immediately with no right to a refund.

6) Change of Mind

Please note that changing your mind about the duration, inclusions, or any other agreed terms of your Internship or program is a big decision. A lot of time and work goes into the organisation of these programs and as such we cannot guarantee any changes to your Internship or program, or any refund resulting from you changing your mind, whatever the reason, once your initial application has been accepted.

7) Complaints

If you have any complaints about your trip, you must make them known at the earliest opportunity to the Program Manager of your program and/or another International Internships in-country representative, who will normally be able to take appropriate action.

If you are not satisfied with their response and feel your enjoyment of the experience is likely to be significantly affected, you should notify the International Internships Australian team in writing (preferably via email) and/or by phone and we will do our best to resolve the problem. If at the end of the program you feel your complaint has not been properly dealt with you must notify us in writing within 30 days of the end of your trip.

8) Travel Insurance

Travel insurance is compulsory for all participants of International Internships programs. Your travel insurance must cover accidents, medical expenses, including any related to pre-existing medical conditions, emergency repatriation, including helicopter rescue and air ambulance, and personal liability. International Internships also recommends that your insurance covers cancellation, curtailment and loss of luggage and personal effects. You are required to carry proof of insurance with you and produce it if reasonably requested by International Internships employees or suppliers. International Internships reserves the right to cancel your trip at any time, including after the commencement of your trip, with no right of refund, if you are unable to provide proof of insurance.

9) Pre-Existing Medical Conditions

It is your responsibility to advise International Internships of any pre-existing medical conditions that might reasonably be expected to increase the risk of you requiring medical attention, or that might affect the normal conduct of a program and the enjoyment of other program participants. You may be required to provide an assessment of your medical condition from a qualified medical practitioner if requested by International Internships employees or suppliers. International Internships reserves the right, at its discretion, to cancel your booking and refund the money paid by you, less any unrecoverable costs, if it discovers information about your medical history not previously disclosed.

International Internships also reserves the right to cancel your participation in a program at any time, including after the commencement of your program, with no right of refund, if your medical condition could be reasonably expected to affect the normal conduct of the program and the enjoyment of other participants.

10) Publicity

You agree that International Internships may use images of you taken during the trip without recourse to you and without compensation to you, for publicity and promotion purposes only through whatever medium it chooses. If you do not wish photos of you to be used by us, you must notify us in writing before the commencement of your program.

11) Privacy

Certain information will be collected by us to supply to the services to you. Your personal information is collected only to enable us to provide you with the services you are paying us to provide. The information may be disclosed to or collected on our behalf by our service providers to enable the services to be provided, but will not be used by them for any other purpose. We may not be able to provide our products and services without this information and if there is something you do not wish to disclose then we will decide if we agree to provide our services anyway.

All information which we collect will be kept confidential to the best of our ability.

International Internships will not disclose personal information such as your name, address or telephone number to any person outside of the organisation, unless you have authorised us to do so or unless we are required by law to disclose such information. Furthermore, under no circumstances will International Internships sell or lease or in any other way provide personally identifying information to any other party.

Your information may also be used to inform you of additional events, information, products and services, which may be of interest to you as a past participant of an International Internships program. All marketing material sent to you will include an option for you to request removal from mailing or contact lists for any future marketing. If you do not wish for us to use your information to

You may request access to your personal information while it is stored by us and we will assess your request in accordance with the law. We will give you reasons where we deny access. 12) Governing Law

This contract and all matters arising from it are subject to the laws of Victoria, Australia and Victorian courts only will have jurisdiction over any dispute arising under this contract.

13) Parties to the Contract

This contract is between yourself and International Internships only.  Supporters of International Internships, including the Australia Indonesia Business Council, are not party to the agreement and the use of their logos is an indication of their support and encouragement only.
